Subscription & Billing
How StaffHQ subscriptions work, available billing cycles, discounts, and what happens when a subscription lapses.
StaffHQ uses a prepaid subscription model. You choose a tier and a billing cycle at checkout, pay for the entire period upfront, and your account remains active until the paid-through date. There are no recurring card charges or credit balances to manage.
Plans and pricing
All prices are in GBP and include VAT where applicable. Longer cycles unlock a discount on the monthly rate.

Managed bot hosting add-on
If you do not want to host the Discord bot yourself, StaffHQ can host it for you. The managed bot add-on costs an additional £2.99 per month and is bundled into the same checkout as your subscription. Select it at checkout or from the upgrade panel in Settings.
How billing works
When you purchase a subscription, your paid-through date is extended by the number of months in your chosen plan length. For example, a 3-month purchase extends it by three months from today (or from your current expiry if you renew early).
Expiry, grace period, and suspension
When your paid-through date passes, StaffHQ does not suspend your account immediately. You enter a grace period during which everything continues to function normally.
Checking your subscription status
Your current tier, paid-through date, and days remaining are shown on the Settings page in the dashboard. You will receive an email notification when your subscription expires and your grace period begins.
